Introduction
This Privacy Policy outlines New City VIP Taxis ("we", "our" or "the Company") practices with respect to information collected from users who access our website at www.newcityviptaxis.co.uk and www.newcityviptaxis.com ("Site") or otherwise share personal information with us (collectively: "Users").
New City VIP Taxis have always taken the responsibility of your data and privacy seriously and work to the standards & legislation set by The General Data Protection Regulation (GDPR) 2018 and previously in accordance with the provisions of the Data Protection Act 1998. This Privacy Policy describes how and why we obtain, store and process any data which can identify you. We will update this policy as and when required with any changes published here.
In accordance with UK/European law, we are also registered as a “Data Controller” with the Information Commissioner’s Office (ICO) UK. There is a legal record, therefore, of all our data capture channels and how our businesses use personal information. Retention
We will retain your personal information for as long as necessary to provide our services, and as necessary to comply with our legal obligations, resolve disputes and enforce our policies. Retention periods will be determined taking into account the type of information that is collected and the purpose for which it is collected, bearing in mind the requirements applicable to the situation and the need to destroy outdated, unused information at the earliest reasonable opportunity. Under applicable regulations, we will keep records containing client personal data, account opening documents, communications and anything else as required by applicable laws and regulations.
We may rectify, replenish or remove incomplete or inaccurate information, at any time and at our own discretion.
Grounds for data collection and what information do we collect?
Processing of your personal information (i.e. any information which may potentially allow your identification through reasonable means; hereinafter "Personal Information") is necessary for the performance of our contractual obligations towards you and providing you with our services, to protect our legitimate interests and for compliance with legal and financial regulatory obligations to which we are subject.
We collect two types of data and information from Users.
1. Unidentified and non-identifiable information pertaining to a User(s), which may be made available or gathered via your use of the Site (“Non-personal Information”).
We are not aware of the identity of a User from which the Non-personal Information was collected. Non-personal Information collected may include your aggregated usage information and technical information transmitted by your device, including certain software and hardware information (e.g. type of browser/operating system your device uses, language preference, access time, etc.) in order to enhance the functionality of our Site, we may also collect information on your activity (e.g. pages viewed, online browsing, clicks, actions, etc.).
2. Personal Information, which is individually identifiable information, namely information that identifies an individual or may with reasonable effort identify an individual. Such information includes:
Device Information: We collect Personal Information from your device. Such information includes geolocation data, IP address, unique identifiers (e.g. MAC address and UUID) and other information which relates to your activity through the Site.
Registration information: When you register with our Site you will be asked to provide us certain details such as: full name; email or physical address, and other information.
How we use your information?
New City VIP Taxis offer various services to both the General Public & Business. Briefly we offer a range of road travel vehicles for hire, including PRIVATE HIRE, EXECUTIVE HIRE and AIRPORT SERVICES. The 60+ fleet of Standard, Mini Bus & Executive vehicles are of a high standard and well maintained. All of our drivers are self-employed and work to the high standards set by this family owned business
In order to provide and pay for those services we collect information from you in the following ways:
1. Enquiries or Bookings by Phone and/or Personal Appearance at our Office
We may record names, pick up address, destination address, contact telephone/mobile numbers, details of any given disability, number and age of children and details of pets, as well any other relevant information required, on an enquiry form at the point of enquiry. We may also record an additional ‘opt in’ option for marketing.
This information is held securely (under lock and key if a physical noted enquiry, or behind a username and password protected computer with a second username and password for access to our electronic booking system) overnight for 24 hours if a booking is not made immediately, after which it will be shredded or deleted.
If a booking is confirmed details are recorded securely on our AutoCab online booking system at www.autocab.com. Autocab are our preferred supplier for booking systems but are an independent company to Us. We may also use and analyse the aggregate (collective data that relates to a group or category of services or customers, from which individual customer identities or characteristics have been removed) information collected through the analytics provision so that we can administer,
support, improve and develop our business.
Credit/debit card details may also be taken to accept payment and provide you with the services that you have requested. These transactions are operated via a fixed line card payment processing terminal in our Moor Lane office, the service provided by WorldPay. Customer credit card payments can also be taken ‘in cab’ through a PayPal card reader, and payments are linked electronically and directly into our secure back office system. Drivers should never ask for or keep your payment card data, apart from the request of your secure card pin number which may need to be entered to authorise payment. Never disclose your pin to a driver or any other person.
Some drivers have use of their own mobile card payment terminal (for example by provided by Payzone and operated via Barclaycard Merchant Services). All are safe and secure in operation, and abide by the same data protection laws, regulations and protections as outlined. We do not keep customer card data on file. All receipts generated from card payments in the office are kept safely and securely in the office safe. All receipts generated by drivers using their own mobile terminals are kept securely by the drivers themselves, and checks are in place by Us to ensure they are compliant. Full card details are not recorded on any receipts.

All personal information is recorded and used as above following the same guidelines as set by current data protection laws. As part of the booking process you may opt in to e-mail communication from us as part of the service you are requesting. If at any stage you would prefer to stop e-mail communication, please “unsubscribe” in the footer of any non-transactional e-mail you receive from us.
Online Bookings via our Website
To book our services online through our website portal, customers are required to first register and provide personal details before booking and paying. This information is stored securely on the AutoCab booking and management system (see above)
Online Bookings via our Mobile App
Customers can book our services by downloading our Android (Google) or Apple based mobile app and recording their personal details. You should be aware that these sites maybe collecting information about you and you should check the respective policies of each of these sites to see how exactly they use your information and to find out how to ‘opt out’ or delete such information.
By downloading the App and booking a journey using it, you will receive “automated” real-time text notifications of the status of your booked taxi using your mobile number. New City VIP Taxis receive personal information when the App is used, and this information is stored securely on the Auto Cab booking & management system (see above)
User Notice:
When you use the website or app, you consent to the collection, storage, use, disclosure and other uses of your Personal Information as described in this Privacy Policy. We encourage our Users to carefully read the Privacy Policy and use it to make informed decisions.
How do we receive information about you?
We receive your Personal Information from various sources:
- When you provide us with your personal details in order to register on our Site
- When you provide us with your personal details to enquire or book in person, on our website and through our app
- From third-party providers or services (for example, traffic analytics vendors).
How is the information used? With whom do we share the information?
We do not rent, sell or share Users’ information with third parties, except as described in this Privacy Policy. We may use the information for the following:
- Communicating with you – sending you notices regarding our services, providing you with technical information and responding to any customer service issue you may have.
- To communicate with you and to keep you informed about our latest updates and services.
- To serve you advertisements from time to time when you use our Site (see more under "Advertisements").
- To market our websites and products (see more under "Marketing")
- For statistical and analytical purposes, intended to improve the Site
In addition to the different uses listed above, we may transfer or disclose Personal Information to our subsidiaries, affiliated companies and subcontractors.

We and our trusted partners use cookies and other tracking in our technologies, including when you visit our Site or access our services.

The Site uses the following types of cookies:

c. 'third-party cookies' , which are set by other online services who run content on the page you are viewing, for example by third-party analytics companies who monitor and analyse our web access.
Cookies do not contain any information that personally identifies you, but Personal Information that we store about you may be linked, by us, to the information stored in and obtained from cookies. You may remove the cookies by following the instructions of your device preferences; however, if you choose to disable cookies, some features of our Site may not operate and your experience may be limited.
We use a tool which is based on the Snowplow Analytics technology to collect information about your use of the Site. The tool collects information such as how often users access the Site, which pages they visit when they do so, etc. The tool does not collect any Personal Information and is only used by our Site hosting and operating service provider to improve the Site and services.

Our Websites use Google Analytics to monitor and report on our website usage such as the number of visitors to the site, search phrases used to find us, pages visited on the site and time spent on the site. The statistics gathered are a necessary requirement in order for us to provide and improve our value-added products and services and to stay competitive.
The cookies do not identify users nor associate your IP address with any personally identifiable information. These cookies are used to collect information in an anonymous form about how visitors use our site, including the number of visitors to the site, where visitors have come to the site from and the pages they visited. We use this to compile reports and help us to improve the site.

Log Files
When someone visits our websites, we collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. We collect this information in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting our website using the data in the logs. We will not associate any log data gathered from our sites with any personally identifying information from any source.
Use of script libraries (Google Web Fonts)
In order to present our contents correctly and graphically appealing across all browsers, we use script libraries and font libraries such as Google Web Fonts (https://www.google.com/webfonts) on this website. Google Web Fonts are transferred to your browser's cache to avoid multiple loading. If your browser does not support Google Web Fonts or does not allow access, content will be displayed in a default font.
- Calling script libraries or font libraries automatically triggers a connection to the library operator. In theory, it is possible – but currently also unclear whether and, if so, for what purposes – that operators of corresponding libraries collect data.

Third-party collection of information
Our policy only addresses the use and disclosure of information we collect from you. To the extent you disclose your information to other parties or sites throughout the internet, different rules may apply to their use or disclosure of the information you disclose to them. Accordingly, we encourage you to read the terms and conditions and privacy policy of each third party that you choose to disclose to.
This Privacy Policy does not apply to the practices of companies that we do not own or control, nor to individuals whom we do not employ or manage, including any of the third parties which we may disclose information to as set out in this Privacy Policy.
How do we safeguard your information?
We take great care in implementing and maintaining the security of your information. We are committed to ensuring that your information is secure. In-order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect.
In addition, We and our technology suppliers employ industry standard procedures and policies to ensure the safety of the information we collect and retain, and prevent unauthorised use of any such information, and we require any third party to comply with similar security requirements, in accordance with this Privacy Policy.
Although we take reasonable steps to safeguard information, we cannot be responsible for the acts of those who gain unauthorised access or abuse our Site, and we make no warranty, express, implied or otherwise, that we will prevent such access.
Accessing & Updating your Personal Information
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. You may request details of personal information which we hold about you.. A small fee will be payable. If you would like a copy of the information held, please write to us.
If you believe that any information we are holding on you is incorrect or incomplete, or wish for us to remove your information, please write to or email us as soon as possible. We will promptly correct any information found to be incorrect to ensure that it is accurate and kept up to date, or remove it from our systems if You so request.
Transfer of data outside the EEA
Please note that some data recipients may be located outside the EEA. In such cases we will transfer your data only to such countries as approved by the European Commission as providing adequate level of data protection, or enter into legal agreements ensuring an adequate level of data protection. We do not directly do this ourselves, but is possible our bookings supplier Autocab may do this as part of providing their service to Us, and from Us to You, due to them having international operations based outside the EEA.
Advertisements
We do not operate a third party advertisement policy on our site and app. However We may use third party software or apps such as SMS and Facebook Messenger for advertisements of local business offers or promotions if We feel these will be of benefit to you. These may use your information with regards to your use of the Services. We will request Your consent beforehand and for You to Opt In to receive and have the option to Opt Out at anytime. SMS or Facebook Messenger also serve non promotional service alerts and broadcast messages.
There may be times due to factors outside of our control that third party unrelated content appears to You (e.g. site is hacked or ad based malware surpasses our Site controls), but We assure all our Users we will not do this with Our direct knowledge or action.
If at any time our third party advertisement policy change and we invite third party ads to show, You may opt out of many third-party ad networks, including those operated by members of the Network Advertising Initiative ("NAI") and the Digital Advertising Alliance ("DAA"). Marketing
We may use your Personal Information such as your name, email address, telephone number, etc., ourselves or by using our third party subcontractors, for the purpose of providing you with notifications, updates or promotional materials concerning our services which we believe may interest you. However, we operate a non spam policy and will not knowingly send out irrelevant communications.
To respect your right to privacy, within such marketing materials we provide you with the means to opt out of receiving further marketing offers from us. If you unsubscribe, we will remove your email address, telephone number and/or Facebook Messenger or any other contact data we have for marketing purposes as relevant, from our marketing distribution lists.
Please note that even if you have unsubscribed from receiving marketing emails from us, we may send you other types of important email communications without offering you the opportunity to opt out of receiving them. These may include customer service announcements or administrative notices.
Corporate Transaction
We may share information in the event of a corporate transaction (e.g. sale of a substantial part of our business, merger, consolidation or asset sale). In the event of the above, the transferee or acquiring company will assume the rights and obligations as described in this Privacy Policy.
Minors
We understand the importance of protecting children’s privacy, especially in an online environment. The Site is not designed for or directed at children. Under no circumstances shall we allow the use of our services by minors without prior consent or authorisation by a parent or legal guardian. We do not knowingly collect Personal Information from minors. Updates or amendments to this Privacy Policy
We reserve the right to periodically amend or revise the Privacy Policy; material changes will be effective immediately upon the display of the revised Privacy policy. The last revision will be reflected in the "Last modified" section. Your continued use of the Platform, following the notification of such amendments on our website, constitutes your acknowledgment and consent of such amendments to the Privacy Policy and your agreement to be bound by the terms of such amendments.
